Sustainable Events Policy

1. Purpose

To reduce the environmental impact of events organised by the Association and to give organisations on the platform tools to do the same.

2. Scope

Conferences, training sessions, meet-ups and volunteering events organised by the International Social Benefit Association. For events announced on hangel by other organisations, this policy is a recommendation; applying it is that organisation's decision.

3. Principles (what we consider in planning)

1. Online or hybrid first. If the content allows, the event is held online or in hybrid form.
2. No or minimal print. Tickets, attendance lists, certificates and programmes are digital.
3. Travel. We prefer venues reachable by public transport and take care to share public transport information in the invitation.
4. Waste. Single-use plastics and unnecessary giveaways are avoided.
5. Accessibility. Sustainability measures must not reduce accessibility (for example, a printed programme is provided on request).

4. Roles and responsibilities

• Event lead (the Association): applies these principles in planning.
• Board of Directors: approves this policy.

5. How it works at hangel today

• Digital tickets and check-in: Registration is done on the platform; tickets and entry check-in use QR codes, without paper lists. Tickets can be added to Apple and Google wallets.
• Online events: Events can be held online in Oda meeting rooms or with Google Meet; attendance time can be measured and an attendance rule (staying until halfway or until the end) applied.
• Digital certificates: Attendance certificates are issued digitally without printing and verified by code.
• Stage screen: Presentations can be shown on the stage screen from the platform; no printed handouts are needed.

6. Not yet in place and our goals

• We do not measure carbon or waste per event.
• There is no sustainability checklist in the event creation screen; our goal is to offer organisations an optional checklist.
• There are no written local or sustainable sourcing criteria for catering and supplies.
